How the Poland Rental Contract Check tool processes your documents and personal data.

This page explains how the Poland Rental Contract Check tool (“Service”) processes documents and personal data when you use it. The Service is currently in an early-access / testing phase.

1. Who operates this service?

The Service is operated by Sergii Shulga (“we”, “us”). You can contact us at najmcheck@pm.me.

2. What data do we process?

When you use the Service, we may process:

  • Uploaded documents: rental contracts and other files you upload (PDFs, images), and the text extracted from them (including via OCR). This may include names, addresses, document numbers and contract details.
  • Technical information: basic request information such as IP address, timestamps, and error logs, as well as limited browser metadata (like user agent).
  • Optional feedback: if you submit feedback, we store the content and, if present, a contract identifier related to your analysis. We do not currently run user accounts.

3. For what purposes do we use this data?

  • To analyze your uploaded rental contract and generate summaries, key terms and risk flags.
  • To operate, debug and improve the Service (for example, monitor error rates, troubleshoot OCR and analysis).
  • To protect the Service from abuse and technical incidents.

We do not use your data for advertising or profiling.

4. Legal basis (EU/EEA)

For users in the EU/EEA, we rely on the following legal bases:

  • Performance of a contract / steps at your request – to process your upload and provide the analysis you request.
  • Legitimate interests – to operate, secure and improve the Service (for example, logging and abuse prevention).

5. How long do we keep your data?

We aim to keep personal data only as long as reasonably necessary for the purposes described above:

  • Uploaded documents and extracted text are used to perform the analysis and to troubleshoot and improve the Service during this early stage. Our aim is to retain them only for a short period up to 72 hours, after which they are deleted or irreversibly anonymized.
  • Technical logs (e.g. error logs) may be kept for a longer period up to 14 days to monitor stability and security.
  • Feedback may be retained for the lifetime of the project but is stored in a minimal form without user accounts.

As the Service matures, we may refine these retention periods and will update this page accordingly.

6. Where and how is data stored?

The Service is hosted on third-party infrastructure providers (for example, hosting for the web frontend and backend). Uploaded files and analysis are processed on servers located in EU/EEA. We use HTTPS to protect data in transit and rely on our providers' security features, while applying reasonable technical and organizational measures.

7. Data sharing

We do not sell your data. We may share data:

  • With our hosting and infrastructure providers, as necessary to operate the Service.
  • If required by law or to respond to valid legal requests.
  • In connection with a business transfer of the Service, in which case we will aim to provide notice where feasible.

8. Your rights (EU/EEA)

Depending on applicable law, you may have rights such as access, rectification, erasure, restriction, objection and data portability. To exercise these rights, contact us at najmcheck@pm.me.

Because we do not operate user accounts and aim to delete uploads after a short period, our ability to identify and retrieve specific documents may be limited.

9. Children

The Service is not intended for children under 16. If you believe that a child has provided documents or personal data through the Service, please contact us and we will delete the data where required.

10. This is not legal advice

The analysis generated by this Service is produced automatically and is for informational purposes only. It does not constitute legal advice and should not be relied upon as a substitute for consultation with a qualified lawyer or legal advisor.

11. Changes to this policy

We may update this policy from time to time as we evolve the Service. When we make important changes, we will update the "Last updated" date at the top of this page.
